Office Manager
The role holds a key position at the centre of the day-to-day operations of the organisation and is the common link between departments and reporting structures for HR, governance and general office administration. The Office Manager will play a key role in ensuring our operating systems remain effective and fit-for-purpose.
Bow Arts has a staff of 28, based mainly in our office at our Bow Road site with hybrid working and is a friendly fast-paced environment to work in. There is a requirement to work closely with, and coordinate back with, colleagues across all departments. The role requires attendance at evening Trustee meetings.
Hours: 35 hours (full-time), Mon to Fri 9am-5pm

Main Tasks:
Office Management & Administration
- Ensure the smooth day-to-day running of the office, covering phones, equipment, stationery, post, cleaning and health and safety compliance.
- Manage relevant contractors and suppliers, including annual subscriptions and service contracts.
- Lead on whole organisation, cross-departmental activity, including Equality, Representation and Inclusion and Sustainability working groups, staff meetings, training, updates.
- Implement and improve IT systems, acting as the main point of contact with external IT support providers.
- Act as the main administrator for digital platforms (Office 365 and DocuWare), troubleshooting issues and supporting staff, improving processes and implementing new processes as required (full training will be provided).
Human Resources Management & Administration
- Oversee and support recruitment and induction across the organisation (includes employees, freelancers and interns).
- Ensure key documentation is maintained and updated (contracts, forms and the employee handbook).
- Liaise with suppliers (including payroll, pension and training providers).
- Support the monthly payroll process ensuring all payroll information is up to date and liaising with external payroll team.

Governance
- Be the key administrative support for the Trust and Trading Company, to include:
- Organising and clerking Trustee meetings – preparing agendas and meeting papers, organising meetings and taking minutes;
- Supporting Trustee recruitment, induction and tenure;
- Making statutory returns to relevant bodies e.g. Companies House and the Charity Commission.
- Oversee the organisation’s schedule of policies and contribute to their development and review as appropriate.
- Coordinate and contribute to grant applications.
- Lead on reporting to the Arts Council as per grant requirements.

General
- To contribute to the activities of other departments as required and directed by your line manager.
- To attend team, staff and other Bow Arts meetings. Some meetings and training may be held outside of normal office hours, including evening Trustee meetings and occasional weekend activities, repaid through TOIL as agreed with your line manager in advance.
- To promote the aims and objectives of Bow Arts in a proactive and informed manner.
- To undertake duties proactively and work in accordance with Bow Arts policies, aims and objectives.
- To ensure compliance with Bow Arts procedures, Financial Regulations and all relevant statutory requirements including Health and Safety.
- To maintain confidentiality agreements and to conduct yourself in a professional manner during the course of your duties.
- To demonstrate a willingness to undertake training as required for the development of the post and enhancement of the company skill base.
